Communicating Through E-Mail
One of the
most important things you can do is check your email throughout the
day.
Timely responses to your clients can make the difference in their
decision about choosing a REALTOR®, or providing assistance to them
in the future.
When responding
to your email inquiries it’s important to maintain a professional
persona. Email can be an extremely comfortable medium, making it
seem that you have a closer relationship with your recipient than
you actually do. This can lead to situations where you will be
responding in a rush and could run the risk of sending your email
without a proper close.
When you are
responding to an email, you should be sure you are including ALL of
your contact information, which is usually referred to as a
'Signature'. This is important because sometimes your recipients
may not recognize your email address. They might not even recognize
your first name if that is how you close your emails. How many
times have you received an email from someone who neglects to
include their contact information, and you have no idea who they
are? Even more importantly, your recipient might want to pick up
the phone to call you directly, fax you an important document, or
visit your website to find a new home that just came out on the
market. If your contact information is missing or incomplete, you
could be missing out on a sales opportunity.
When you don't
include your information at the end of every email, you are forcing
your prospective client to work harder to contact you. They might
have to search their sent items to find your address, go through
folders of your emails to locate that phone number, or email you
again to ask for that information. Make it EASY for them to find
and contact you. If you take even an hour or two to respond back to
your prospective client, they may have lost interest!
Don't make
it hard for people to contact you.
Many email
programs have a place for you to create your signature file that
will automatically appear on every email you create or reply to.
You can even create several signatures for different purposes and
choose a different one for specific emails you send out.
