Email Dilemma: “What’s best for my business?”
E-mail Forwarding vs. E-mail Hosting
In April 2004,
Advanced Access expanded its network capacity to accommodate two
forms of e-mail: E-mail Forwarding and E-mail Hosting (POP3). By
presenting you the opportunity to have your email both ways,
you can now choose the method you feel best serves the interests of
your specific business needs.
E-mail
Forwarding:
-
Create unlimited
e-mail masks.
-
Create a
catch-all e-mail mask to catch “anything@yourdomain.com”. This
will catch all e-mails that are not sent to an e-mail address you
have otherwise created in your Mail Center.

Create
auto-responders
E-mail forwarding
(also commonly referred to as e-mail “masking”) acts as a temporary
net to catch e-mails sent to “something@yourdomain.com”, and then
forwards them on to your actual destination e-mail account. For
example, say you have a Yahoo e-mail account that you really like
using, but you want to be able to advertise your e-mail using your
website address. You could set up an e-mail mask of “Jane@YourWebsiteAddress.com”
and forward that to your “jane12345@yahoo.com”. This way, you are
serving the following purposes:

You are still
able to maintain the e-mail account you are most comfortable using
without the need to learn a new system.

You can brand
your website with your e-mail (rather than advertising your e-mail
provider’s website).

You can provide
all your potential and existing clients with a single e-mail
address that is (a) easy to remember, and (b) won’t ever change as
long as you own your domain name, even if you change e-mail
providers.
Caught
in the ‘Safety Net’?
With all these
advantages to e-mail forwarding, there are potential drawbacks to
having your e-mail masked.
SPAM and virus
e-mails run rampant across the Internet these days. Because of this
growing issue, e-mail providers must make every possible effort to
guarantee that their clients will have efficient delivery times for
their e-mails, while still ensuring that their clients’ inboxes
don’t get slammed with a bunch of ‘junk mail’. At this point in
time, this effort, unfortunately, can not be 100% guaranteed by any
e-mail provider. While some SPAM and virus e-mails may still make
it passed the hundreds of safety nets e-mail providers have in place
to catch them, some of the e-mails that you DO wish to
receive may also actually get caught in these safety nets. This
can include messages forwarded through an e-mail mask.
The
Black Hole
Some of the
measures e-mail providers take include actually blocking entire mail
servers from sending to your e-mail’s intended destination server,
as opposed to just blocking e-mails based on their content. RBLs
(Real-time Blackhole Lists) are lists of what are referred to as
“known spammers”, mail servers that have built a reputation for
sending excessive amounts of suspected junk (unsolicited) mail.
Unfortunately, there can be servers that are not relaying junk
e-mails that are on these lists as well, so they will also be
blocked. This means that forms from your site may be considered as
unsolicited by YOU and so they can be blocked.
Example:
Bob@BobsFineHomes.com is set up as a mask that is forwarding to
bob54321@yahoo.com. If joe12345@aol.com sends an e-mail to Bob@BobsFineHomes.com
that e-mail must first be received and accepted by the provider of
the e-mail forwarding service for “@bobsfinehomes.com”. Upon
accepting the e-mail, the server for must then turn around and
resend the e-mail to the destination server, where the true e-mail
account is hosted (in this case, bob54321@yahoo.com). This means
that e-mails sent to an e-mail mask can first be delayed or blocked
by the server managing the e-mail mask (Bob@BobsFineHomes.com). If
the e-mail is received and resent by the first server, the e-mail
has yet a second chance of being delayed or blocked by the
server hosting the true e-mail account (bob54321@yahoo.com).
E-mail
Hosting (POP3):

Create up to 5
e-mail accounts. *
-
Each e-mail
account can hold up to 5 MB of space.*
-
Automatic
permanent deletion of e-mail messages in the “Deleted Items” after
6 weeks to ensure you stay under your 5 MB.

POP3 capability
so you can manage your e-mail through Outlook, Outlook Express, or
another POP3-ready e-mail client.

Create
auto-responders
If you are using
our e-mail hosting, we highly recommend setting this up through
Microsoft Outlook or Outlook Express. This will provide you several
convenient and efficient ways of managing your e-mail. It will also
help ensure that your maximum quota of 5 MB is not reached, since
your e-mail will only be limited by the available space on your
computer.
