Business Email - Are You Receiving All Your Mail?

Advanced Access provides 'email forwarding' accounts for our website
clients. This means that we give you a 'mask' for your domain name
(John@MyDomain.com) that will forward all of your email to your
'real' email account (i.e. John584425@Earthlink.net). When you
advertise an email address that matches your domain name, you are
branding yourself and keeping YOUR name in front of potential
clients. Why advertise 'Earthlink' or 'AOL' when you can use your
email mask as another opportunity to advertise YOUR business?
Branding an email mask is also more convenient if you decide to
change your email provider. If you have been advertising your AOL
email address for the past year and decided to switch your provider
to Earthlink you would have to spend lots of time notifying your
clients, family and friends about the change. With an email
forwarding service, your mask will remain the same and you can
change your underlying email provider without any need for
notification.
Email forwarding has always been an easy solution in the past.
However, over the past few years email SPAM has become a bigger
problem.
The forwarding of
your email can, at times, introduce at least a 5 to 10 minute delay
in delivery. Since the email must be delivered to our servers, then
re-addressed and sent back out to the final destination, Advanced
Access acts as the middle man in delivering your email.
The final
destination servers determine what the actual delivery time frame
will be. The final destination servers are your email providers -
companies such as Earthlink or AOL. Our servers attempt to deliver
the email message when first received by our servers. If the
message can not be delivered to your destination server immediately,
our servers try for 1 minute intervals for 15 minutes, then the
server attempts to deliver the email randomly for the next four
days, usually trying at least once per hour.
To give you an idea
of how MUCH SPAM is generated, in ALL of the email that our servers
forward, 65% of that email is SPAM, and 35% is legitimate
business. ISP’s do not like spam and
viruses going through their servers. They won't accept it.
When these ISPs
receive SPAM from our servers they will do whatever they can to stop
the flow. In some cases, if the ISP receives more than a 'certain'
amount of SPAM they will not allow any additional email to come
through from our servers. This happened last month as we were
blocked for several days by a popular ISP which resulted in several
days of lost email. Many clients were able to quickly forward their
email to another host but not until they realized they were not
receiving their email.
Again, as Advanced
Access is the middle man in all of this, the ISP thinks that we are
sending the SPAM. Without a middle man, the bad 'SPAM' servers
would be penalized and the 'legitimate' business servers would get
through. (Of course, there is no clear-cut way to know who is
legitimate or not legitimate. Thankfully we don't make those
rules!)
A good solution
would be to set up a POP account where you remove the middle man. A
POP account is an email box that allows you storage to hold your
emails. There are many POP accounts to choose from -- some are free
but come with limitations or limited options.
Remember that this
is your business.
You need to be able
to focus on your business and not have to worry your email.

As you know, many ISPs are filtering (and rejecting) messages in
an attempt to cut down on SPAM. Most SPAM control programs are
simple: They run a few tests, and for each test, will either
deliver the E-mail, bounce it (which most are doing), or add a
warning to the headers. With Declude JunkMail, however, Internet
Crusade have a "weighting" system that allows them to use a series
of SPAM tests, while helping make sure that legitimate E-mails
gets through.

The eMailPLUS system is set to scan all incoming
messages. They do not filter and or reject email, but they do
label the message (in the subject area) when a trigger point is
hit. The message is tagged as SPAM Warning: Medium with a weight
of 10 or more (until 20) and then we label the message as SPAM
Warning: High when it comes up with a WEIGHT of 20 or more.
Internet Crusade also indicates in the header of the message the
different tests that failed.

As mentioned, eMailPLUS does not reject any of the eMail,
every piece of eMail is delivered..., though, you might soon agree
that "all" of the messages tagged as High aren't needed, and can
easily be blocked at the Server level.

eMailPLUS will work with any existing eMail system.
Please keep in mind that eMailPLUS can be added to anyone's eMail
account (which is usually at their ISP). If one of their customers
has an account at Earthlink, they can purchase eMailPLUS and put
it between the Internet and Earthlink and take advantage of all
the eMailPLUS management features....

aliases (eMail addresses) which can be forwarded to any e-mail
address (or program) on the Internet or any Mailbox you have
created.

Inbound and Outbound).
